Pilates4.Me Studio Terms & Conditions
Introduction
Thank you for choosing Pilates4.Me. Before participating in our sessions, please review and agree to the terms and conditions below.
1. Bookings & Payments
- The online booking system provides real-time class availability, dates, and prices, which may change based on interactions.
- Clients are responsible for ensuring the accuracy of their bookings and payments.
- All payments are non-refundable and non-transferable unless otherwise arranged.
- All packages have a specific expiry period, which should be noted prior to purchase.
- Packages and class bookings are non-transferable and only available to the purchaser. However, if a friend is interested in a class, you may inform us, and a complimentary trial may be offered at our discretion.
2. Class Availability
- Pilates4.Me cannot guarantee class availability at specific times.
- Packages may be booked up to one month in advance (from 1 December 2025).
- Refunds are not issued if your preferred time slot is unavailable.
3. Class Adjustments
- The studio reserves the right to change trainers or class types without prior notice. Updated schedules will be available on the app.
4. Rescheduling & Cancellations
- It is important to cancel your class on the Octiv app at least 4 hours before the scheduled start time; otherwise, the class will be forfeited.
- Classes with only two bookings will be cancelled with email notification.
- Classes may be cancelled due to unforeseen circumstances, and efforts will be made to notify clients promptly.
5. Package Guidelines
- Packages may be booked up to one month in advance (from 1 December 2025).
- Package expiry dates for Mat or Reformer may not be extended. If all classes are not used within the valid period, the remaining classes will be forfeited. No refunds will be given.
- You may cancel a class up to 4 hours before it starts and rebook another available session through the Octiv app. Late cancellations will result in that class being forfeited.
- Packages may not be shared with friends or family.
- Please bring a towel, and wear socks, socks with grips, or Pilates shoes. No bare feet allowed.
6. Health & Safety
- Clients with communicable diseases must provide medical clearance before attending group sessions.
- Seek medical advice before participating if you have any health concerns.
- Late arrivals of more than 10 minutes will not be admitted for safety reasons.
7. Age Requirements
- Participants must be at least 16 years old to attend group classes. Those under 16 are not allowed to attend or remain unattended at the studio.
8. Personal Belongings
- The studio is not responsible for the loss or damage of personal items. Please take care of your belongings.
9. Studio Conduct
- Please bring a towel and wear either socks, socks with grips, or Pilates shoes. No bare feet allowed.
- Suitable attire should be worn, and clients are encouraged to bring their own towels and water.
- Instructors may use hands-on techniques for guidance; please inform them if you are uncomfortable with this.
10. Liability & Disclaimer
- Assumption of Risk
Clients acknowledge that participation in Pilates classes and related activities involves inherent risks, including but not limited to physical injury, muscle strain, falls, and equipment-related incidents. Clients voluntarily assume all risks associated with participation. - Medical Responsibility
Clients are responsible for ensuring they are in suitable physical condition to participate. It is strongly recommended that clients seek medical advice before engaging in any exercise programme, especially if they have pre-existing health conditions. Pilates4.Me and its instructors do not provide medical advice or diagnoses.

To the fullest extent permitted by law, Pilates4.Me, its owners, instructors, and staff shall not be liable for any injury, loss, damage, or expense suffered by clients, whether arising from negligence, breach of contract, or otherwise. This includes, but is not limited to:- Personal injuries sustained during classes, whether due to self-inflicted strain, pre-existing conditions, equipment usage, or accidents within the studio.
- Loss, theft, or damage of personal belongings while on studio premises.
- Any unforeseen circumstances, including studio closures, class cancellations, or trainer substitutions.
- Client Responsibilities
Clients must inform instructors of any injuries, medical conditions, or physical limitations before participating. They must also adhere to all studio policies, including safety guidelines. - Indemnification
By attending classes, clients agree to indemnify and hold harmless Pilates4.Me, its staff, and affiliates from any claims, demands, or legal actions arising from participation in studio activities.
11. Data Protection
- Pilates4.Me takes data confidentiality seriously. Only authorised personnel have access to client data.
- We will not share client data with third parties without consent. Clients can opt out of studio communications.
12. Free Trial
- Free trials are available only to local residents of Hermanus and are limited to one per individual.
- Free trials are subject to availability and management discretion. They cannot be redeemed for cash or transferred.
- Pilates4.Me reserves the right to contact participants for marketing purposes.
13. Photography & Videography
- The studio occasionally captures videos and photos during sessions for marketing purposes.
- If you prefer not to be included in such footage, please inform us, and we will ensure you are not featured.

By attending classes, clients acknowledge and accept these terms and conditions, including associated responsibilities and risks.
